ROLE OVERVIEW

Reporting directly to the Finance Officer, the Stores & Purchase Officer is responsible for the rigorous execution of the day-to-day procurement cycle and the management of the central stores. The role requires hands-on management of the Procure-to-Pay (P2P) process, inventory control, and vendor coordination for academic, technical, and facility requirements. He must demonstrate meticulous attention to UGC/AICTE compliance and operational efficiency, and a deep respect for the Institute’s trust-based, service-oriented ethos.

KEY RESPONSIBILITIES

Strategic Procurement & Cost Management

Handle the centralized procurement strategy for all SSSIHL campuses, encompassing academic, and administrative.
Direct campus-wide sourcing strategies, manage high-value capital expenditures (CapEx).
Drive cost-saving initiatives while standardizing procurement policies.

Vendor Relations & Negotiations

Cultivate ethical, long-term relationships with suppliers and Original Equipment Manufacturers (OEMs).
Lead complex contract negotiations for pricing, SLAs, and Annual Maintenance Contracts.

Governance & Audit Readiness

Act as the primary liaison for internal and external auditors, maintaining meticulous, transparent, audit-ready documentation.
Ensure uncompromising adherence to UGC, AICTE, and Trust regulations, and oversee e-tendering.

Process Optimization

Mentor the procurement staff, enhance ERP systems for the Procure-to-Pay (P2P) cycle.
Streamline inventory management practices across all campus stores to prevent stockouts and minimize wastage of trust resources.

QUALIFICATIONS & EXPERIENCE

B.Com./M.Com./M.B.A. from a recognized Institute with specialization in Supply Chain Management, Business Administration with at least 55% (50% in case of SC/ST/OBC (non-creamy layer)/PWD).
Minimum 5 years of experience in procurement and inventory management in a recognized University/DTBU/ Academic Institution/reputed MNC company with proficiency in ERP systems (e.g., SAP, Oracle, etc.) and advanced MS Excel skills and strong English communication skills.
A thorough understanding of GFR, knowledge of UGC/AICTE/NCTE/GoI/MoE rules & regulations, and DBT/DST/CSIR/ICMR Guidelines is desired.
